Homeowner Communications Are Spotty

Email blasts via a generic tool with no real tracking. Some owners don't read email. Some never gave you a current address. Critical notices that should reach 100% of the community reach maybe 60%.

Vendor Management Is Chaos

Landscaper, pool company, gate vendor, roofing, painting. Bids, contracts, COIs, insurance expirations, work-order history — scattered across email threads and a manager's filing cabinet.

What We Build for Communities

Architectural Request Portal

Homeowner submits the request online with photos and details. Auto-routes to ARC. Comment thread keeps the discussion organized. Approval/denial letter generates automatically. Full searchable history per address forever. Same web-portal stack (Flask + Gunicorn + Nginx + SSO) we run for several internal request-and-approval workflows in production today.

Mobile Violation Tracker

Phone app for the board member or manager: tap to log a violation against an address, snap photos, select from your community's standard violation list. Notice letters generate automatically. Cure-period tracking, escalation, repeat-offender flagging — all handled. Built on the same field-capture stack we use for inspection workflows.

Homeowner Portal

Each homeowner has a login. They see their dues balance and pay online. They submit ARC requests. They report concerns. They see community news. They update their contact info themselves. Drastically reduces inbound calls and emails. SSO and audit logging on by default.

Mass-Notification System (Email + SMS)

Broadcast emails AND SMS to specific communities, sub-groups, or all units — emergency notices, board meeting reminders, vendor work alerts, fire-system tests. Email-to-SMS carrier gateway runs in production for a dispatch-alerting use case at meaningful scale; same engine handles HOA broadcast cleanly, group-managed via a directory-synced portal.

Online Dues & Vendor Payment Processing

Stripe or ACH-direct payment capture for dues. Auto-receipts, payment plans, late-notice automation, lien-status tracking. We've built ACH-direct vendor enrollment portals in production with bank-verification workflows — same proven pattern handles homeowner payments and vendor disbursements cleanly.

Board Workspace

Private portal for board members: meeting agendas, packet documents, motion-and-vote tracking, action-item assignments, vendor contracts and COIs, financial reports. The institutional memory of the community lives somewhere durable instead of in inboxes. Built on the same Confluence-class knowledge-base patterns we use for 100+ operational KB articles in a public-safety environment today.

Community Calendar & Amenity Booking

Public calendar for amenities, room and court reservations, vendor scheduled visits, board meetings, social events. Self-service booking with conflict prevention and required notice rules. Same shared-resource calendar pattern we run in production for 19 room and resource calendars across a multi-department organization.

Vendor Onboarding & COI Tracking

Centralized vendor roster: W9, COI, license docs, insurance expirations with automatic 90/60/30-day reminders, work-order history, ratings. Vendors get a portal to upload renewed docs themselves — no more expired-COI surprises after a slip-and-fall.

Volunteer-Friendly, Manager-Friendly

HOA software lives or dies on adoption by people who didn't sign up to learn software. Board members are volunteers. The community manager has 47 other things to do today. Homeowners are paying customers who will absolutely complain if you make them do work. Anything we build has to be obviously easier than the current way — not "saves 20% if you learn the system."

Our approach: tight scope, simple UI, integration with the tools you already use (QuickBooks, Outlook, your existing payment processor), and a smooth on-ramp. The web-portal stack, the mass-notification gateway, the ACH payment workflow, and the shared-resource calendar referenced above are all running in production today for an Arizona public-safety operation — same components adapt cleanly to community management.
