Privacy Policy

How we collect, use, and protect information across our website, AI agents, and consulting engagements.

This Privacy Policy explains what information Optimized Working collects, how we use it, who we share it with, and the choices you have. It applies to optimizedworking.com, our AI agents and chat integrations (including any Microsoft Teams app branded "Skynet"), and any consulting or development engagement you enter into with us.

1. Information We Collect

Information you provide directly. When you submit a contact form, send an email, or engage us as a client, we collect the information you choose to share -- typically your name, business email, company name, and a description of the workflows or technology problems you want help with. When you initiate a remote support session, we collect the session metadata required to connect (session code, time, IP address). When you communicate with our AI agents in Microsoft Teams or other channels, we receive the content of those messages along with the channel-level identifiers Microsoft (or the comparable platform) provides.

Information collected automatically. Our website uses standard web logs (date, time, IP, user agent, referrer, requested URL) for security, troubleshooting, and aggregate usage analytics. We do not place advertising cookies, behavioral tracking pixels, or third-party analytics SDKs on the site. The only third-party service the website calls during normal operation is Google Fonts (for the Inter typeface) and Formspree (only if you submit the contact form).

Information from integrations. If you grant our AI agents delegated access to a service you control (for example, your Microsoft 365 mailbox or OneDrive), we receive only the data required by the permissions you have explicitly granted. We do not request or accept access scopes broader than those necessary to complete the work you have engaged us for.

2. How We Use Information

We use the information we collect to respond to inquiries, deliver consulting and development services, run and improve our AI agents, secure our infrastructure, comply with legal obligations, and -- where we have a clear business interest and you have not objected -- send occasional service-related communications. We do not sell personal information, we do not rent contact lists, and we do not use client conversation content to train third-party AI models.

3. AI Agents and Conversation Content

Our AI agents (including the Skynet Microsoft Teams app) route messages through a self-hosted gateway that we operate. Conversation content is processed in transit by the underlying model provider (Anthropic, OpenAI, or another provider we explicitly disclose at engagement time) under that provider's enterprise data terms. Where the underlying provider offers a "no training" or "zero retention" option for API traffic, we use it. Conversation transcripts are retained on our gateway only as long as necessary for operational debugging, typically less than 30 days, and are accessible only to authorized Optimized Working personnel.

4. Information We Share

We share information only with the service providers who help us run the business: our cloud hosting provider (Amazon Web Services), our domain and DNS provider (GoDaddy), our email security and delivery provider (Microsoft 365 / Exchange Online), our contact form processor (Formspree), and the AI model provider(s) listed above. Each is contractually bound to protect the information we share. We will also disclose information when required by valid legal process, when necessary to protect our rights or the safety of others, or in connection with a corporate transaction (in which case we will notify affected clients).

5. Data Retention

Contact form submissions and email correspondence are retained for the duration of our business relationship plus a reasonable archive period (typically up to 7 years, for tax and contractual reasons). Server access logs are retained for up to 90 days. AI agent transcripts are retained for up to 30 days. You can request earlier deletion of any information we hold about you by emailing solutions@optimizedworking.com.

6. Your Rights and Choices

You may request access to, correction of, or deletion of personal information we hold about you. You may opt out of any non-transactional email at any time. If you are a resident of California, the EEA, the UK, or another jurisdiction with specific privacy rights (CCPA, GDPR, etc.), you have the rights granted by your local law and we will honor verified requests within the timeframes those laws require.

7. Security

We use HTTPS everywhere on this site (Let's Encrypt certificates), enforce least-privilege access on our infrastructure, store credentials in a managed secret store, and run our AI agents inside isolated workspace boundaries. No system is perfect; if you believe you have found a security issue, please email solutions@optimizedworking.com with details and we will respond within one business day.

8. Children

Our services are intended for businesses and the people who run them. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The effective date at the top of the page reflects the most recent revision. Material changes will be communicated via the website and, where appropriate, by direct notice to active clients.
